1. Who we are and how to contact us
VRTL Index is the public-facing name of an independent community project operated from Montenegro. In this policy, “we” means the operator of VRTL Index at www.vrtlindex.com. VRTL Index determines how information submitted to this website is used for its services. The brand name does not imply that we are an incorporated company.
For privacy questions, controller-identification information, account closure or removal requests, use our Contact form — Privacy & data request. Include a reply email and enough information to locate the relevant account or listing. Do not send passwords, payment-card details or identity documents in the form.
We provide creator tools, scripts, guides and community listings for IMVU and Second Life. We are not affiliated with, endorsed by or partnered with IMVU or Together Labs, or Second Life or Linden Lab. Those platforms operate under their own policies.
2. Information we handle
- Member accounts: email address, Wix member identifier, account status and any profile information you provide. If you choose Google sign-in, Google and Wix process the account information authorized in that flow, which can include your email, name, profile image and an account identifier. We do not receive your Google password. Email/password sign-in is handled through Wix authentication.
- Directory applications: display name, platform, role, public link, image and short bio, plus a submission reference, permission record, timestamp and review status. The current application form does not require a contact email or automatically link your application to a member account.
- Advertising submissions: brand name, category, community tags, destination link, banner artwork, requested offer, permission record and review status. Your member identifier and account email are linked server-side so we can show your own requests and contact you. These records are in an admin-only review collection; an approved public placement shows only the agreed brand, artwork and link. Uploaded banners have publicly accessible media URLs, including while a request is pending. Do not upload private or confidential artwork.
- Messages and service requests: creator name or alias, reply email, chosen topic, message, relevant links and any details you choose to share for setup assistance or advertising.
- Orders and payments: agreed scope, correspondence, payment reference, status, amount and details provided by the payment service. Payment credentials are entered with the payment provider, not in our contact forms.
- Technical information: our hosting and security providers may process IP addresses, device/browser details, request times, session identifiers, page requests and error or abuse logs to deliver and protect the website.
Account creation and directory publication are separate. Signing in does not automatically publish your email, Google profile or a directory listing. An approved directory profile is public and can be copied or indexed by search engines. Pending application text is kept in our private review collection, but uploaded directory artwork is stored at a publicly accessible media URL even before approval. Upload only artwork intended for public display.
3. Local tools, uploads and external services
Tools described as client-side, including the image resizers, Normal & Shine Map Generator, FBX inspector and Event Desk builder, process their working inputs in your browser. Selecting a file for one of these tools is different from submitting a directory image or using a tool that explicitly sends information elsewhere.
- Saved drafts: some tools, including Event Desk, store preferences or drafts in your browser. Export important work; browser storage is not an account backup.
- AI tools: when available, the AI Description Writer and LSL helper send the text you submit through our server to OpenAI to generate the requested output. Do not include secrets or sensitive personal information. Provider processing and retention still apply; a client-side label on another tool does not apply to AI generation.
- Discord: formatting and timestamp tools generate copyable text. The Shop Announcer sends the announcement to Discord only when you choose Send, using the webhook you supply. The webhook is held in page memory, not saved by that tool to browser storage. Treat webhook URLs as secrets.
- Public lookups and media: catalog links, shared outfit identifiers, live rate requests and external images may contact the relevant platform, host or our server. Loading remote media can disclose technical request details to its host.
- Restricted processing: if you are authorized to use a private server-processing tool, its upload notice and consent control apply. Files submitted there are not covered by a browser-only processing statement.
Files, presets and exports that you download remain on your own device until you delete them. We cannot erase your local copies, or copies you have posted to another service.
4. Why we use information
We use information to provide requested accounts and tools, review directory applications, display approved profiles, answer messages, deliver agreed services, maintain payment records, prevent abuse and resolve problems.
Where a legal basis is required, we rely on performing a requested service or taking steps at your request before a contract; your permission for optional public profile publication; legitimate interests in security, moderation and responding to inquiries, balanced against your rights; and applicable recordkeeping or other legal obligations. Optional marketing requires a separate appropriate basis—we do not treat a directory application or support inquiry as a newsletter subscription.
Required form fields allow us to carry out that form's purpose. If you do not supply them, we may be unable to create the account, review the application or reply. You can still use tools that do not require those details. Directory publication is reviewed by a person; our calculators and AI outputs are not decisions about legal eligibility, credit, employment or other similarly significant matters.
6. Cookies and browser storage
Wix hosting, sign-in and security features use cookies or similar identifiers for sessions, authentication and abuse prevention. Google sign-in and reCAPTCHA can involve Google cookies and security information. Some tools use local storage for themes, drafts and usage counters. These purposes differ from advertising tracking.
You can manage cookies and site storage in your browser and revoke Google account access through Google's account settings. Blocking essential storage may prevent sign-in or some tools from working. Clearing site data can remove unsaved drafts and preferences; export work first.
Any optional analytics or marketing tracking must follow the consent requirements that apply to you. Search Console reports on search performance; connecting it does not make your private member profile a public directory entry.
7. Retention and security
We keep personal information only as needed for its purpose and applicable obligations. Accounts and approved listings are retained while the relevant service or listing remains active. Pending applications and their permission records are retained for review, follow-up, disputes or a withdrawal request. Messages and setup records are retained while needed to handle the request, deliver the service and address related issues. Payment records may need to be kept for legally required accounting or dispute periods.
There is currently no universal automatic deletion timer for all website records. Deletion and correction requests are reviewed manually. Copies in the CMS, media storage and private Inbox may need to be handled separately; backups and provider logs can remain for their applicable retention cycles or legal requirements. We do not promise immediate deletion from every backup or a third party's cache.
We use HTTPS and access restrictions for administrative records. No storage or transmission method is completely secure. Do not upload confidential documents or send account credentials through support messages.
8. Your choices and privacy rights
Depending on the law that applies, you may request access, a copy, correction, deletion, restriction or portability of your personal information, object to certain processing, or withdraw consent. Withdrawing permission does not make earlier lawful processing unlawful. Some records may need to be retained for legal obligations or legitimate claims; we will explain an applicable exception.
Use Privacy & data request and specify whether you mean your account, application, public profile, uploaded artwork or all of them. Include your application reference or public listing link if available. We may ask for proportionate evidence that you control the account or profile, without requesting your password. Revoking Google access alone does not delete a separate Wix member record or directory application.
We respond within the time required by applicable law. Removing a listing from VRTL Index does not immediately remove search-engine caches, copies made by other people, or content on linked platforms. You may also complain to your competent data protection authority, including Montenegro's Agency for Personal Data Protection and Free Access to Information ↗, or the authority where you live where applicable.
9. Younger users
The service is not directed to children under 13. Users must meet applicable legal and platform age requirements and obtain parental or guardian permission where required. Do not submit a child's personal information. Contact us if you believe we hold information from a child who cannot lawfully provide it, so we can investigate and take appropriate action.
10. Changes to this policy
We may update this notice when our services, providers or legal requirements change. The date at the top identifies the current version. Material changes will receive any additional notice or consent required by law; posting a revision does not remove your existing rights.
For service rules and the optional setup-assistance cancellation policy, read our Terms of Service.
